At Atlas Food A/S, we are dedicated to protecting the personal information you provide to us. In this privacy policy, you can read about the information we collect, what we use the information for, how we protect it, and what rights you have as a result of our processing.

In what situations do we collect and process your personal information?

  • When we enter into an agreement and deliver your order.
  • When we respond to your general inquiries via email, social media, etc. When you contact our customer service for purposes such as complaints, etc.

  • When we engage in direct marketing to you via email.

What personal information do we collect, for what purposes, and under what legal basis?

When entering into an agreement and delivering your order, we collect ordinary personal information such as name, address, email address, telephone number, and order specifications. If you are acting on behalf of a company, we may also collect job title, company name, and VAT number. However, the VAT number will only constitute personal information if it relates to a sole proprietorship and contains personal data such as your name. The processing is necessary for us to enter into a contract with you and/or the company you represent, and to deliver our service to you. Therefore, the legal basis for processing is GDPR Art. 6(1)(b).

For general inquiries via email, website, social media, etc., we process ordinary personal information such as email address, name, the content of the inquiry, and other details provided. The information is necessary for us to respond to your inquiry, and since we have a legitimate interest in doing so, the processing is based on GDPR Art. 6(1)(f). If you participate and win in a contest we initiate, we process the ordinary personal information necessary for your participation and for us to send you what you have won. The legal basis here is GDPR Art. 6(1)(b).

When contacting our customer service and support, we process the aforementioned information, i.e., name, address, etc., as well as specific information about your purchase, in order to manage your right to return or complain about goods you have purchased. The legal basis is GDPR Art. 6(1)(b).

When you call our support department, your call may be recorded. This is done so that we can fulfill our legitimate interest in documenting the circumstances mentioned during the call, which typically relate to your order, as per GDPR Art. 6(1)(f). If we record calls to train our employees, we will always obtain your consent before the call is recorded, and you can always withdraw your consent by contacting us. Therefore, the legal basis for processing is GDPR Art. 6(1)(a).

When signing up for our newsletter, we collect your name and email address, as well as any other information you voluntarily provide. We do this to send messages about competitions, events, tips, and news. The information is collected based on your consent, per GDPR Art. 6(1)(a). You can always withdraw your consent by clicking the link at the bottom of each newsletter or by contacting us.

For direct marketing to you via email, we process your ordinary personal information such as your name, email address, purchase history, and any search behavior to present products you may be interested in and to provide you with the best offers. The processing is based on your consent, which you can always withdraw either in the email you receive or by contacting us. Therefore, the legal basis is GDPR Art. 6(1)(a).

When picking up goods at our warehouse, you may be recorded by our CCTV surveillance. The purpose of collecting the video material is to prevent and document any potential violations of the law, and the recordings may therefore be disclosed to law enforcement authorities if there is reasonable suspicion of a violation of criminal law. The video material will only be reviewed if deemed relevant. The legal basis is GDPR Art. 6(1)(f).

When visiting our website, we use cookies to collect information such as your IP address, browser type, operating system, and pages visited on our website. We use this information to analyze and improve our website, and analytical/marketing cookies are only placed and used for analysis/marketing if you consent to it. To which third parties do we disclose information?

We use external third parties to provide a range of IT systems such as email systems, support systems, marketing systems, systems for managing customer data, and the operation of our website. If you have consented to our use of marketing/analytical cookies, we may share data about your interactions on our website with, for example, social media platforms.

Furthermore, your ordinary personal information such as name, address, email address, and order number will be disclosed to the carriers we have agreements with, who will handle the delivery of your goods. In certain cases, the information may also be disclosed to a manufacturer of the relevant goods if we exceptionally do not have one or more of your items in stock.

Additionally, it may be necessary for us to share information with other external parties such as advisors, auditors, and public authorities such as the Danish tax authority (SKAT).

Several of the third parties we use are data processors in accordance with GDPR Art. 4(8). Therefore, we have entered into data processing agreements with them, ensuring that your personal information is processed securely, properly, and in accordance with the law.

In case a data processor transfers your personal information to a third country, appropriate safeguards are in place to ensure the protection of your information. These safeguards typically consist of the data processor committing to comply with the EU’s Standard Contractual Clauses, as per GDPR Art. 46(2)(c). Alternatively, transfers will be made to places and companies considered safe by the European Commission, as per GDPR Art. 45.

How long do we retain the information?

We generally ensure to delete your information when we no longer have a purpose for storing it. Information related to our contractual relationship, such as contract basis, invoices, payments, etc., is deleted after the current year plus 5 years, as storage during this period is required by the Danish Bookkeeping Act.

The information collected via cookies when you visit our website is stored for the period specified in our cookie policy.

If you have subscribed to our newsletter, we will store your name and email address until you unsubscribe from the newsletter. As mentioned, you can do this via the link at the bottom of each newsletter or by contacting us.

 

You have the right to:
